Job Summary: The Administrative Assistant provides support to PACE Executive Director, Site Director, managers, other employees and PACE Participants by handling a variety of tasks in order to ensure that all interactions between the organization and others are positive and productive.  

Primary Responsibilities:  The Administrative Assistant performs a wide range of administrative and office duties to ensure the smooth and efficient daily operations of the PACE Program.  Primary responsibilities are: 

a.    Answer, screen and transfer inbound calls
b.    Receive, monitor and direct participants and visitors coming to the PACE site
c.    General clerical duties including copying, faxing, emailing, filing, creating correspondence, etc.
d.    Maintain filing system  
e.    Schedule and coordinate meetings, take minutes and distribute correspondence accordingly
f.    Maintain office supply inventory
g.    Performs tasks related to organization
h.    Completes administrative projects as delegated to
i.    Exhibits polite and professional communication via phone, e-mail and mail.
j.    Order office supplies
k.    Maintain/distribute contact lists
l.    Reconcile expense reports and credit card accounts
m.    Sort and distribute mail
n.    Coordinate repairs for office equipment

Employment Specifications:

 

Education/Experience:

High school diploma or equivalent; college degree preferred.   2-3 years of clerical, secretarial or office experience.  Basic computer skills including knowledge of Microsoft Office Suite and general office equipment.

Licensure, registry or certification required:

None

 

Special Training:

 

Ability to effectively communicate via phone and email.  Able to complete duties accurately, deliver with high quality in a timely manner.  Customer service experience required.

Physical Demands:

Must be able to see, hear, and verbally communicate.  Must be able to move about freely and possess manual dexterity and visual acuity.  Sedentary for long periods of time. 

Working Conditions:

Primarily in an office environment.
